Official Minutes
On Tuesday, November 6, 2001, the MTVA Executive Board met at St. Cecilia Academy in Nashville, TN. The following members were present: Valerie DeHoff, Tiffany DePriest, Jj Ebelhar, Cindy Freeman, Robert King, Tim Pate, Jerry Pierce, Carolyn Riggins, David Spencer, Angela Tipps, Lewis Walling and Rachel White. Cindy Freeman moved to approve the agenda. The motion was passed after being seconded by Jerry Pierce. After approving the agenda, some corrections to the October minutes were presented. The treasurer’s report was submitted by David Spencer; he highlighted the fact that the Middle School Mass Choir event met its expenses this year. The association’s CD (Certificate of Deposit) matured on October 26, 2001 and was resubmitted for an additional ten months. MTVA currently holds a record number of 109 memberships. The treasurer’s report was also approved (Riggins/DePriest).
After some discussion regarding the cost of All-State learning CDs, Vice-President Riggins moved to assess each school with all-state students or alternates $10/per delivered CD due at the Mid-State Festival. Tiffany DePriest seconded the motion and it passed after additional discussion.
Valerie DeHoff informed the board that 111 students had registered for the Elementary Honors auditions from 13 schools. The site has now been confirmed; Belmont University will host this event in conjunction with the Middle School Honors choir.
Middle School Mass Chair Tim Pate suggested the development of a task force to address various problems related to this event. After some brief investigation, President Ebelhar requested a list from the chair of the issues to be addressed. She then agreed to take up this topic at the next meeting. Further, President Ebelhar instructed all chairs to place a notice on all programs for MTVA events to read: “There shall be no audio or video taping of this event, or any type of recording using mechanical recording devices in compliance with the United States copyright laws.”
The board was took action on allowing home-schooled students to participate in MTVA events. This request was denied. (Riggins/Tipps). The board also denied a request to allow students at a local school to audition for the Mid-State and All-State choirs without the membership of their choral director in accordance with the MTVA Handbook. (Walling/Freeman).
At the conclusion of business, the meeting was adjourned.
On Tuesday, November 6, 2001, the MTVA Membership met at St. Cecilia Academy in Nashville, TN. Rolls for the meeting are on file with the secretary. President Jj Ebelhar called the meeting to order. The minutes were approved (McKnight/Chartrand) after an editorial change.
· Treasurer David Spencer presented his report as noted above. The report was approved (White/Williamson).
AREA REPORTS:
Elementary Mass (Tiffany DePriest): No report was given. Please communicate by e-mail if possible; it is much faster and easier to get a response.
Elementary Honors (Valerie DeHoff): The site, Belmont University, was announced. Other information can be found in the Executive Board minutes.
Middle School Honors (Jerry Pierce): The site is the same as Elementary Honors: Belmont University. Those directors preparing students should have them memorize the music. Also, a CD will be sent with pronunciations and preparation notes. The audition piece may be cut to accommodate the learning of difficult sections. All directors registered will be sent e-mail updates, or check the MTVA web site for further information.
No report was given regarding the association’s non-profit status.
The membership was informed of the board’s decisions regarding home school student participation.
A proposal was presented and approved for providing specialty T-shirts and plagues for student purchase at the Mid-State concert. MTVA would receive 10% of the total sales, or a minimum of $800. No paperwork or sizing would be required. All sales would be handled at the concert.
A proposal was also submitted and approved for recording the Mid-State concert. An “on-site” digitized recording would be made. All copyright laws and similar regulations would be assumed by the producing business.
Lewis Walling then presented a brief comment on the All-State auditions that summarized the attached memo.
Finally, the Mid-State/All-State audition judges were instructed to hold students “blameless” for confusion of parts in the Hogan audition piece. Similarly, the pronunciation of the German should not be graded. Directors were also instructed to communicate to parents that audition areas would be “restricted” access. All MTVA directors will be identified with nametags provided at the audition.
Following the conclusion of business, the meeting was adjourned (Pierce/DeHoff). The next meeting will be Tuesday, January 8, 2002 at St. Cecilia Academy in Nashville, TN.
